About the role
We are looking for an experienced and highly organised Medical Coordinator to support the United States Antarctic Program (USAP) in New Zealand.
This role will be the key point of contact for medical-related matters for USAP personnel and participants based in New Zealand. You will coordinate medical appointments, testing, specialist care and medical information, while working closely with New Zealand healthcare providers and the USAP Medical Office.
The role requires a high level of confidentiality, sound judgement and attention to detail, as well as the ability to coordinate multiple stakeholders and respond effectively when medical issues arise.
Key responsibilities
Act as the main point of contact for medical-related questions and issues for USAP personnel and participants in New Zealand.
Coordinate medical appointments, assessments and testing for New Zealand-based personnel and other USAP participants as required.
Collate, manage and maintain medical results and information within MedTech, ensuring records are accurate, secure and up to date.
Securely transmit medical charts, results and clinical notes from New Zealand healthcare providers and laboratories to the USAP Medical Office for medical qualification (PQ) review and to McMurdo or South Pole medical providers as required.
Provide support and coordination for medical evacuations (Medevacs) when required.
Liaise with the Christchurch Travel Office regarding further travel requirements for patients, including arrangements for return travel to McMurdo or onward destinations.
Monitor hospital, specialist and healthcare provider accounts to ensure invoices are processed and paid within required timeframes.
Coordinate and manage contracted medical staff to undertake COVID-19 testing, influenza vaccinations and other health initiatives as required.
About you
You will be an organised and proactive professional who is comfortable working in a role where priorities can change quickly and where accuracy and confidentiality are essential.
You will ideally have:
Experience in medical administration, clinical support or a similar environment.
Must hold a current CPR and First Aid Certificate, or be willing to achieve this
A current Medical Terminology Certificate, or be willing to achieve this within the first 12 months.
Full New Zealand Driver’s Licence (Car Licence) is required.
Strong organisational and administrative skills, with excellent attention to detail.
Experience coordinating appointments, medical assessments, testing or specialist services.
An understanding of the importance of privacy and confidentiality when managing medical information.
Strong communication and relationship management skills, with the ability to work effectively with healthcare providers, patients, internal teams and international stakeholders.
The ability to manage multiple priorities and work calmly under pressure.
Strong computer and record-management skills, with the ability to learn and use medical information systems such as MedTech.
A high level of professionalism, discretion and sound judgement.
The successful applicant must be eligible to work in New Zealand, hold a current clean driver’s license, undergo a pre-employment drug and alcohol test and pass a security and reference investigation for the issuance of an Airport Identity Card.
