Planned Maintenance Administrator

We’re looking for a proactive and detail-focused Planned Maintenance Administrator to join our Support Centre team in Lower Hutt. This role is at the heart of our operations, supporting the smooth delivery of planned maintenance services and ensuring accurate, on-time communication with both suppliers and internal teams.  

About the role

This is not your average planned maintenance admin role. You’ll be fielding requests, dispatching jobs to the right contractor and following through from start to finish — all while keeping our systems updated and our stakeholders in the loop.

You’ll be part of a high-performing support team that plays a crucial behind-the-scenes role in keeping the wheels turning. Every day brings something different and your ability to organise, communicate, and stay cool under pressure will make all the difference.

This is an onsite role, Monday to Friday 8.00am to 4.30pm (40 hours per week).

What you’ll be doing:

  • Administering preventative maintenance workflows from receipt to close-out
  • Scheduling preventative maintenance requests and coordinating with subcontractors and internal teams
  • Communicating job updates clearly and professionally to operations and support staff
  • Ensuring documentation and billing information is accurate and up to date
  • Responding to incoming requests via phone, email and online channels
  • Assisting with reporting, document control  and general support across the contract

What you’ll bring:

  • 3+ years in an administration role
  • Strong planning, scheduling, and organisational skills
  • Confidence using IT systems, especially the MS Office suite (and the ability to pick up new systems quickly)
  • Excellent attention to detail and an ability to manage competing priorities
  • A calm, professional approach when dealing with queries, requests, or last-minute changes
  • A team-oriented attitude and a natural instinct to help things run smoothly
