We're looking for a Support Centre Administrator to join our team supporting operations at RNZAF Base Ohakea.

This is a fast-paced and varied role that sits at the centre of service delivery and customer experience. You'll be responsible for ensuring maintenance requests are actioned efficiently while providing a high level of service to customers, operational teams and suppliers.

About the role

As Support Centre Administrator, you'll play a key role in coordinating maintenance and service requests across the site.

You'll receive and triage incoming work requests, schedule work, coordinate subcontractors, monitor workflow progress and ensure jobs are completed, recorded and ready for invoicing.

Just as importantly, you'll be a key point of contact for customers, helping manage requests, provide updates and ensure a positive customer experience throughout the lifecycle of each job.

Working closely with operational teams, suppliers and customers, you'll help ensure service delivery runs smoothly and contractual service levels are achieved.

What you'll be responsible for

  • Receiving, triaging and managing maintenance and service requests
  • Scheduling and coordinating work for PAE teams and subcontractors
  • Monitoring workflow progress and ensuring service levels are achieved
  • Providing a high level of customer service to site users and stakeholders
  • Managing customer enquiries and providing timely updates on job progress
  • Maintaining accurate records within our job management systems
  • Supporting subcontractors with systems, processes and compliance requirements
  • Liaising with operational teams, suppliers and customers
  • Ensuring documentation is complete and ready for invoicing
  • Producing reports and supporting operational administration activities
  • Supporting continuous improvement of workflow and scheduling processes
  • Building positive relationships with customers, subcontractors and operational teams

What we're looking for

  • Experience in administration, workflow coordination, scheduling or customer service, ideally within a fast-paced operational environment
  • Strong organisational skills and the ability to manage competing priorities
  • Excellent communication and relationship management skills
  • A genuine commitment to customer service and delivering positive customer outcomes
  • Confidence working with technology and process management systems
  • Strong attention to detail and a commitment to accuracy
  • A proactive approach to problem solving
  • The ability to think on your feet and adapt to changing priorities
  • Experience in facilities management, trades coordination or service delivery environments would be advantageous
