Project Coordinator - Fixed Term

At PAE New Zealand, we’re a facilities maintenance company that keeps New Zealand’s most critical operations running — from Defence Force bases and council facilities to Antarctic programmes. Run by Kiwis for Kiwis, we take care of the buildings, assets, and environments that enable essential organisations to focus on what matters most.

The Role

We’re seeking a skilled Project Coordinator to join our national Projects team on a fixed-term contract through to June 2026.
Working closely with Project Managers, subcontractors, and client representatives, you’ll help ensure our major projects are delivered safely, on time, on budget, and to the highest standard.

This is a hands-on coordination role covering planning, procurement, scheduling, HSE compliance, reporting, and stakeholder engagement across a portfolio of complex projects.  Based at Devonport with some travel required to other Defence sites around the Auckland Region.  Flexible working available for the right person.

What You’ll Do

  • Support Project Managers through end-to-end delivery — from scoping and estimating to completion.

  • Coordinate project schedules, budgets, and documentation.

  • Liaise with clients, subcontractors, and suppliers to keep progress on track.

  • Maintain records, prepare reports, and support financial and performance tracking.

  • Ensure projects meet quality, safety, and environmental standards.

  • Contribute ideas to improve how we plan, deliver, and report on projects.

What You’ll Bring

  • At least 5 years’ experience in project coordination or similar within FM, construction, or infrastructure.

  • Strong organisational skills and the ability to juggle multiple priorities.

  • Confident communicator who builds strong relationships with clients and suppliers.

  • Proficient in MS Project, Excel, or other project management tools.

  • Working knowledge of health & safety requirements and a proactive, can-do attitude.

Why PAE?

  • Be part of a team that genuinely keeps New Zealand working.

  • Work on diverse, meaningful projects with Defence and other essential clients.

  • Join a company that values teamwork, safety, and doing what’s right.
